Sharing with Google Drive

This post specifically looks at understanding the options with regard to sharing files in Google Drive.

There are a few levels that you should be familiar with when sharing. See the PDF below for details:

When you select the "Share", you get these options:


Enter the email address of those you want to share with and select the level of sharing you want - edit/comment/view only. If you want to share with a large group, a class or parents, use the "Get shareable link" option.



By default, people within the school/organisation will get view access. If you want to share with a class at school, that will work fine. If, however, you want to share outside of the school, select "More".



You can now choose "On - anyone with the link" and change the level of access. After clicking "Save" you can copy the link and paste it into an email or online in Seqta or any LMS.


If you share files or folders with students (or staff) it is important you understand how that works. Check out this succinct explanation from Chris Betcher:



If you want to move a file from a shared folder ... DON'T! It will then disappear for everyone that is sharing that folder. A solution would be to use SHIFT-Z which then makes the file appear in more than one location - it is still the same file but can appear in multiple places in Drive.
